User guide to setting up ballots in Bruin Learn

To create a ballot

  1. Go to the ballot course site. This should be listed on your Dashboard.
  2. The home page should be set to “Modules” and either has a Module section labeled “Ballots" or has been previously set up and have been more comprehensive.
  3. Click on the “+” on the right-hand side of the Ballots Modules section.
  4. At the top, there should be “Add “Assignment” to the desired module. Assignment should be a drop-down.
  5. Click the drop-down and select “Quiz”
  6. Click [Create Quiz]
  7. Enter "Name"(REQUIRED. This will be the name of the ballot)
  8. Select Add item
  9. Select the new quiz
  10. Select Edit
  11. Fill in the following:
    1. Quiz Type: Ungraded survey
    2. Select “Keep Submissions Anonymous”
    3. Select “Let Students See Their Quiz Responses”:
      1. Unselect “Only Once After Each Attempt”
      2. Unselect “Let Students See The Correct Answers”
    4. Assign:
      1. To use Assign, you can set the ballot to be assigned to a certain group or to specific people using "Sections".
      2. To make a ballot available to users at a specific time, use the field that states "Available from" and set the date
      3. To make it unavailable after a certain time, set the date under “Until”
      4. Once the dates are set, remember to save AND PUBLISH the quiz. NOTE: The timing controls the availability of the Quiz in Bruin Learn. Bruin Learn does not automatically send a notification that the Quiz is available (based on user notifications).
  12. Recommended: Click save and publish.
    1. This will exit you out of the quiz. For the next step, you will need to then re-enter the quiz by clicking “Edit”
  13. Add question(s):
    1. Click on the “Questions” tab at the top of the screen.
    2. Click “+ New Questions”
    3. Name your question (the name will not appear for respondents, but will appear in CSV download as column name)
    4. Select "multiple choice" question type from the drop down.
    5. Enter the question details and choice values.
    6. Click “Update question” to save
    7. Repeat until all questions have been entered.
  14. Save Quiz

To update members of a voter pool

  • Groups are referred to as “Sections” in Canvas
  • To see a list of users with access to a specific group, you can use Settings > Sections
  • You should review the members in all your voter pools at least yearly and adjust as needed.
  1. Go to BALLOT SITE > People
  2. To add a person to a group, click on the ellipses on the far-right of the user’s name and click “Edit Section”
  3. Add them to the preferred group.
  4. If a user has not been enrolled, you can enroll them in the site using the "+ People" button
    • If you get an error enrolling the user, they may not have logged in to Bruin Learn before. If they have them, contact that person and have them log in, then try to add them again.

Emailing regarding Ballots

  • Users must email ballot notifications and reminders from their own email clients
  • We recommend including the link to the specific survey in correspondence. To do so, navigate to the specific survey, copy the URL from the browser's address field, then paste it in your email. [Example: https://bruinlearn.ucla.edu/courses/#####/quizzes/######]

To see results

  1. Go to the ballot course site. This should be listed on your Dashboard.
  2. Navigate to the specified ballot.
  3. Select the ballot.
  4. Select "Survey Statistics", listed on the far right-hand side under "Related Items".
    • "Survey Statistics" only appears after there are survey responses to analyze.
  5. To download the results, select "Student Analysis" on the top-right of the screen.
