You may have noticed that certain roles are missing from the Roles list when you select "+People" in SIS Course sites in BruinLearn. The reason you can no longer see certain roles is that we were forced to restrict access of Staff and Faculty from adding people as TAs, Graders, and Teachers to course sites. Prior to this change, we found multiple of instances of students being added to this role in a "volunteer" capacity (for example, working them as TAs without paying them), adding them well before they were going to be officially hired and paid, or "upgrading" a student from a lower-paid position to a higher paid one unofficially (aka requiring them to do more work for less pay).
This is a violation of University Policy and the University's agreement with the Grad Student Union. In part, this change is also to prevent unauthorized access to gradebooks, especially for students who have not had any training or been FERPA-certified in the past year. If you require someone to be added manually, please see the requested role to determine the procedure:
Teachers
Under most circumstances, Teachers must be enrolled via official channels (UCPath and OASIS). Our default for visiting instructors is to temporarily enroll them as a course editor unless otherwise specified. When reaching out to the Help Desk for assistance in enrolling visiting instructors, you may be asked follow-up questions regarding the length of time you want them to have access to your course and how much access you want them to have access to. Under almost all scenarios, the only person who has access to student grades should be the instructor(s) of record.
TAs and Graders
TAs and Graders are automatically added into BruinLearn course sites, so in most cases, if you can't see them in your course site, they haven't been officially hired yet. Please note that an offer letter is not the same as being officially hired.
- Check with your Department's hiring personnel to determine if your TA/Grader has been officially hired added in OASIS
- If they have not been added in OASIS, you must wait as we cannot add people manually until they're officially hired via the official channels
- If they have been added in OASIS and more than 6 hours has passed and the TA is still not being added, then reach out to SEASnet via email to troubleshoot the sync issue between OASIS and BruinLearn.
Readers
Readers are not automatically added into BruinLearn course sites. Please provide the SEASnet Help Desk with the following:
- Confirmation that the Reader has been added into UCPath and/or OASIS, depending on department procedure (Please note that an offer letter is not the same as being officially hired). The hiring personnel who hired the Reader providing written confirmation that they're hired is sufficient.
- The shortname (TERM-COURSE-SECTION) of the Reader's course
- The course Instructor
- The Reader's UID (email is sufficient, UID is preferred)
Reader is a Grader equivalent role and do not have access to add or edit anything in course sites. They cannot be added as a TA. As the Reader is being manually added, once added, the Reader's role on the People page will show as "Temporary: Grader". This is the same as a Grader, "Temporary" is just the method of enrollment. SEASnet manually enrolls all users into SIS course sites on a temporary basis. They are given temporary access for the entire quarter.
NOTE: Reader and Grader are the same role with different labelling. If you have a reader you want added to your course, we offer the manual path but you can also follow the hiring procedure for Grader to add them automatically into your course.
Group Tutors
We've consulted the Registrar on the issue of what level of access Group Tutors are allowed and per their orders, Group Tutors are only allowed edit-level access to course sites and are not supposed to be allowed access to the Gradebook.
Please provide the SEASnet Help Desk with the following:
- Confirmation that the Group Tutor has been added into UCPath and/or OASIS, depending on department procedure (Please note that an offer letter is not the same as being officially hired). The hiring personnel who hired the Group Tutor providing written confirmation that they're hired is sufficient.
- The shortname (TERM-COURSE-SECTION) of the Reader's course
- The course Instructor
- The Group Tutor's UID (email is sufficient, UID is preferred)
Other
In emergency situations, we have the discretion to add non-hired users as Editors (with no gradebook access) on a very temporary basis (limited to one week). This is intended for, but not limited to: emergency hospitalizations, sudden deaths in the family, natural disasters (i.e. earthquake causes teacher's power to go out)
